Headshot Booth:
• Camera: High-resolution DSLR or mirrorless camera such as Canon EOS R5, Nikon Z7 II, Sony A7R IV
• Lenses: Portrait lens like 85mm f/1.4 or 50mm f/1.2
• Lighting: Studio strobes or continuous lights with softboxes or umbrellas, reflectors and diffusers
• Backdrops: Various professional backdrops, including neutral colors and branded options
• Tripod: Sturdy tripod for stability
• Retouching Software: Adobe Lightroom and Photoshop for basic retouching
• Tethering Equipment: Cables and software for tethered shooting
• Computer/Tablet: For image review and selection
Candid Photography:
• Camera: High-resolution DSLR or mirrorless camera similar to those used in the headshot booth
• Lenses: Wide-angle lens like 24-70mm f/2.8 and telephoto lens such as 70-200mm f/2.8
• Flash: On-camera flash with diffuser
• Memory Cards: High-capacity and fast-speed cards
• Batteries and Chargers: Extra batteries and portable chargers
Video Production Equipment
Fixed Filming Locations:
• Cameras: 4K/HD cameras, minimum of 3 per location, examples include Blackmagic URSA Mini Pro, Sony FX6
• Tripods and Mounts: Heavy-duty tripods and mounting systems
• Video Switchers: Multi-camera switchers like ATEM Mini Pro
• Monitors/Recorders: External monitors and recorders such as Atomos Ninja V
• Cabling: SDI/HDMI cables and converters
• Wireless Video Systems: Wireless video transmitters and receivers
Rotating Coverage:
• Cameras: 4K60 full-frame 10-bit cameras, minimum of 3, examples include Sony A7S III, Canon EOS R5
• Gimbals: Stabilizers for smooth dynamic shots, examples include DJI Ronin-S, Zhiyun Crane 3
• Wireless Audio Systems: Wireless microphones and lavaliers for capturing audio
• Audio Equipment: Wireless/lavalier microphones for speakers, PA systems for main stages, VIP lounges, and workshops
On-Site Editing:
• Editing Setup: Laptop with editing software such as Adobe Premiere Pro, Final Cut Pro
• Data Management: External hard drives and backup solutions
• DIT Station: Digital Imaging Technician setup for data wrangling
Additional Considerations:
• Power Supplies: Portable power stations or generators

Proposed Team
1. Project Manager/Coordinator
▪ Role: Oversee the entire project, ensuring timelines, client communications, and logistics are managed effectively. ▪ Experience: Experience in managing large-scale events or productions.
2. Director of Photography (DoP)
▪ Role: Lead the roaming video production team, ensuring all filming meets creative and technical standards. ▪ Experience: Extensive experience in live event coverage, with skills in multi-camera setups and directing camera operators.
3. Technical Director
▪ Role: Manage live switching between camera feeds on the main stage. ▪ Experience: Proficient in live video production and switcher operations. Experience in coordinating multi-camera setups.
4. Camera Operators for Fixed Locations
▪ Role: Operate cameras for static and dynamic shots at the main stage and additional fixed locations. ▪ Experience: Experience in multi-camera live event coverage. Skilled in operating professional 4K/HD cameras. ▪ Quantity: At least 5 operators (3 for main stage, 1 for each additional location).
5. Roaming Camera Operators
▪ Role: Capture dynamic shots of networking events and special activities using gimbals. ▪ Experience: Skilled in handheld and gimbal operations. Experience in capturing engaging, dynamic footage. ▪ Quantity: 3 operators
6. DIT/Video Editor
▪ Role: Manage data wrangling and produce same-day recap videos and social media highlights. ▪ Experience: Skilled in video editing software such as Adobe Premiere Pro or Final Cut Pro. Experience in quick turnaround editing for live events.
7. Sound Engineer
▪ Role: Oversee audio capture, including wireless microphones and PA systems. ▪ Experience: Experience in live sound mixing and audio equipment setup. Familiarity with troubleshooting audio issues in dynamic environments.
8. Production Assistants
▪ Role: Assist with equipment setup, logistics, and general support for the production team. ▪ Experience: Previous experience in event production or film/video shoot and ability to work efficiently under pressure. ▪ Quantity: 2-3 assistants.
9. Post-Production Editor
▪ Role: Handle post-production editing, including the marketing sizzle reel and workshop videos. ▪ Experience: Expertise in video editing, sound mixing, and color grading.
Technical ApproacH
Our approach to the Building Success Summit 2025 is rooted in strategic efficiency and creative execution. We begin with an agile pre-production phase, leveraging our robust planning software to streamline scheduling, equipment logistics, and crew coordination. This ensures that every aspect of the production is meticulously planned and communicated, minimizing downtime and maximizing productivity.
For the live event, we implement a hybrid camera setup on the main stage, integrating static and dynamic cameras with remote control capabilities. This allows our technical director to seamlessly manage live switching from a centralized control hub, reducing the need for excessive on-stage personnel and ensuring unobtrusive coverage. At the additional fixed locations, we utilize compact, high-resolution cameras with wireless capabilities, enabling quick repositioning and adaptability to capture spontaneous moments across different event tracks without the clutter of extensive cabling.
Our roaming camera operators are equipped with lightweight, full-frame cameras and advanced gimbals that provide superior stabilization, allowing for fluid and cinematic shots during networking sessions and special activities. By employing wireless transmission technology, we can deliver live feeds from these roaming cameras directly to the editing suite, enabling our on-site editors to craft recap videos and social media highlights in near real-time. This reduces post-production time and provides immediate content for your marketing team to utilize.
In post-production, we employ a cloud-based editing platform that allows for collaborative editing and client feedback, ensuring that the final deliverables are polished and aligned with your brand messaging. Our approach to the optional workshop videos involves a modular editing strategy, where content is segmented and repackaged efficiently for online courses, providing added value with minimal additional cost.
On the photography front, our headshot booth is designed for rapid setup and teardown, utilizing collapsible backdrops and portable lighting kits. This enables us to quickly reposition the booth as needed throughout the venue, providing maximum accessibility for attendees. Our candid photography team is trained in unobtrusive shooting techniques, capturing the event's atmosphere without interrupting the flow of activities.
